To enhance the experience at Superskin, we have created an Integrated Aesthetic Clinic ERP system tailored to the specific requirements of the Superskin beauty clinic. In contrast to generic hospital management software, this system emphasizes the typical patient journey within a beauty clinic, prioritizing visuals (before-and-after photos), repeat treatments (treatment packages), and convenient service.

This system encompasses the complete process from online reservations and self-service kiosks to digital medical records, pharmaceutical inventory management, and customer loyalty initiatives.

Challenges

Operating an aesthetic clinic involves distinct complexities that conventional ERPs are unable to address.

Visual Medical Records

Doctors require functionalities to delineate specific regions of a patient's face (Face Mapping) and to store progress photographs (Before-After), which are not offered in standard EMR modules.

Medical Device Specifications:

Aesthetic procedures utilize advanced machinery, including lasers. Documenting technical parameters, such as Joules and Pulse Width, is essential for ensuring consistent treatment sessions; however, capturing this information through a basic text box proves challenging.

Package Management (Prepaid)

Patients frequently acquire treatment packages (e.g., "5x Acne Peel Package"). Manually monitoring the remaining quotas of patient packages often results in miscalculations and customer dissatisfaction.

Commission Complexity (Jasmud):

Calculates incentives for medical services for doctors and therapists, which vary automatically based on the type of action and tiering scheme.

Patients provide digital consent for medical procedures and photo permissions, thereby eliminating the need for paper.

Package and Loyalty Management: ​

The system automatically identifies and deducts patient package quotas during checkout transactions. Loyalty points are likewise computed automatically to enhance customer retention.

Aesthetic EMR with Facial Mapping:

A visual medical record feature that enables physicians to annotate problem areas directly on the patient's facial diagram using a tablet.

Specialized Laser Measurement:

A specialized input form for accurately documenting laser machine parameters, thereby ensuring the safety and consistency of patient treatment outcomes.

Smart Queue Management System (Kiosk):

A self-service queue management system that allows patients to arrive, scan a QR code or input their mobile number on the kiosk, resulting in the immediate display of their queue number on the television in the waiting room and on the doctor's tablet.

    • Pharmacy Integration: Electronic prescriptions (e-Prescriptions) significantly decrease drug inventory.
    • Membership: Administration of points and member tiers.
  • Queue Management
    Integration of the registration kiosk and queue television display.
  • Reporting
    Automated report on the calculation of doctor/therapist commissions and profitability for each treatment.
